A seasonal operation where every order connects office administration, tree stock, yard preparation, payment and final fulfilment.

Stockeld Park is a Grade I listed country house and estate between Wetherby and Harrogate in North Yorkshire, covering approximately 2,000 acres.

Its Christmas tree operation involves considerably more than taking an order. Office and yard teams need to coordinate customer enquiries, forecast demand, confirmed orders, tree availability, preparation, payments, collections, deliveries, couriers and pallets.

Askew Brook designed and developed a secure internal platform around that full operational journey. It also brings historic customer and order data into the new workflow, retaining legacy references while giving staff a clearer system for future seasons.

The challenge

Turning complex seasonal orders into clear, controlled work for office, yard and administration teams.

Orders can combine multiple tree varieties, sizes and grades with stands, netting, installation and other services.

Forecast demand needs to reserve likely stock before confirmed orders commit it.

Collection dates, delivery dates and the date a tree needs preparing are distinct operational milestones.

One commercial order may need specific quantities delivered to several different locations.

Courier pallets must be planned, checked against the order and tracked through handover.

Payment and approved credit arrangements must be clear before trees leave the yard.

What we built

One operational system from initial enquiry through inventory allocation, preparation, payment and fulfilment.

Customer and order management

Reusable contact, delivery, billing and payment details make order entry practical, while order-level snapshots keep historic records accurate when customer details later change.

Forecast and confirmed orders

Forecasts reserve likely demand before an order is confirmed. Confirmed orders then commit the relevant stock, giving teams earlier visibility of pressure on particular varieties and sizes.

Controlled tree inventory

Stock is organised by variety, height and grade with its own price and quantity. Reserved, committed and available figures are calculated automatically, with controls against over-allocation.

Traceable stock adjustments

Inventory changes use append-only adjustments rather than silently replacing figures, preserving a clear operational history of how stock positions changed.

Multiple delivery locations

Specific quantities from one order can be assigned to several destinations, keeping a direct link between what the customer ordered, where each tree is going and how it must be prepared.

Collection and delivery planning

Separate yard collection and customer delivery dates help the yard plan when an order actually needs to be ready rather than relying only on its final destination date.

Couriers and pallet planning

Staff can plan pallets, record their actual contents and manage preparation and handover stages. The system warns when pallet quantities do not match the original order.

Payments and credit safeguards

Bank transfer, cash and card receipts feed into payment totals and status. Unpaid fulfilment is blocked unless the customer has an approved credit-account arrangement.

Documents and amendments

Branded quotes, invoices, delivery notes and yard sheets are generated securely. Changes to confirmed orders are tracked so yard staff can see and acknowledge amendments.

Role-specific dashboards

Office, yard and administration teams see relevant worklists for upcoming orders, payment holds, inventory risks, current yard activity, collections and deliveries.

Historic data tooling

Migration tooling was developed to support approximately 700 customers, 3,800 historic orders, 10,500 order lines and the existing product catalogue while retaining legacy identifiers.

Purpose-built technology

The platform is built with Laravel 13, PHP 8.3, Filament 5, MySQL, Tailwind CSS and Vite, with an administration interface branded and structured for Stockeld Park’s operation.
